Project Privacy

Every project has a privacy level, which determines if the project is visible to non-members, and how easy it is for them to join.

As with all other account resources, any project (regardless of privacy setting) is only ever accessible to members of the same account.

The privacy level can be changed at any time, but only by a project administrator.

Levels

There are three privacy options available: Open, Private, and Hidden.

Open

Projects set to this level can be joined by any team member at any time. They show up on a list of available projects, so are easy to discover.

Team members who join this way are given the project role of Viewer, so they gain read-only access. A project administrator can change their role at any time.

This setting is useful for projects that contain no sensitive information and which are used simply for organisational purposes.

Private

Private projects cannot be freely joined by non-members. They do still show up on a list of available projects, but no details (including membership) are visible. New members can only be added to them by a project administrator, manually.

Non-members can request to join, which causes an email to be sent to all project administrators. However, the potential member is not told who these administrators are, only that a notification has been sent.

This setting is useful for projects that contain resources that it is not appropriate for all staff to have access to.

Hidden

This level takes privacy even further. Not only can non-members not automatically join, but they cannot even see that the project exists. As with private projects, new members can only be added by a project administrator, manually.

Projects in this level will show a Not Found error, instead of Permission Denied, and they will not appear on any list of available projects.

Administrator Override

The access control system established through a combination of these privacy levels and project members roles applies to all users in an account, regardless of their account role.

The only exception is that account administrators can access a special page which lists all projects (even hidden ones) and they can force-add themselves to any project at any time.
